ESSENTIAL INFORMATION

Arrival / Departure Times

You may arrive at the property any time after 4.00pm, to enable sufficient time for preparation between lets. At the end of your holiday you should depart by 10.00am. This ensures there is time to prepare the property for incoming guests and your co-operation in this matter will contribute towards a trouble-free changeover.

If you do not arrive at your holiday destination by 12 noon of the day following your intended arrival, and we have not heard from you, your holiday will be treated as cancelled. 

Cleanliness and Care

Whilst you are staying in the property it is you and your party’s responsibility, to keep the property clean and tidy and to leave it in this condition at the end of your holiday. We appreciate the need for you to have an enjoyable time whilst on your holiday, however, we would also ask you to respect the property and its neighbours and not disturb or cause offence in any way. You must allow the owner or their employees access to the property during reasonable hours, except where an emergency problem needs to be remedied immediately and you are out of contact, in which case, they may enter the property without your prior agreement. The property cannot be used for any commercial purposes, nor sublet or assigned to anyone not accepted by us as a party member.

Linen

Linen and towels, but not beach towels are provided in all properties. Linen is changed between tenancies and weekly during tenancies (unless otherwise agreed). 

Numbers in Party

The number of persons occupying a property must not exceed the number stated in the property description. Only those listed on the Booking Form may stay at the property, although it is usually possible, with the owner’s permission, to invite a few friends or relatives for a meal providing they do not stay overnight. This request for additional non-staying guests will need to be approved by HFH. 

Holidaymaker Suitability

The owner is entitled not to let you into their property if he or she feels for any reason that you or any member of your party are likely to cause any damage to it and is under no obligation to find alternative accommodation for you or your party. You may not allow anyone to stay in the property not included in the booking form, nor may you change the composition of the party radically without notifying HFH. If you breach any of these rules, HFH is entitled not to hand over the property to you, in which case the holiday will be treated as cancelled, with no refund due and HFH is not liable to provide you with alternative accommodation.

Special Occasions

No party, event or gathering may take place at the property which exceeds the maximum agreed occupancy numbers for the property without prior consent. It is also not permitted for any commercial enterprise or supplier of leisure activities to visit the property during your stay without our consent eg a caterer, magician etc. It is also not permitted for any alcohol to be sold on the premises without permission. Should any of these terms be breached HFH has the right to repossess the property without any compensation or refund due to you or your party. 

Special Needs

If you have any special needs, such as reduced mobility, please let HFH know at the time of booking.

Losses and Damages

Losses or damages incurred by any member of your party during your holiday must be paid for. Before you arrive, the property will have been thoroughly cleaned and checked. If you find any discrepancies with the state of the property please notify the owner as soon as possible and certainly within 24 hours. Any losses or damages caused after this will be your responsibility and it may be worth checking with your own insurance company whether they will cover you in these circumstances. If a loss or damage does occur to the property while you are staying there, please inform HFH as soon as possible to agree the level of charges to be paid. Charges will be deducted from your security deposit.

Smoking

Please note that in accordance with current legislation, smoking is not permitted at Hare Farm

Pets

Pets are not permitted at Hare Farm. As a working sheep farm with livestock and dogs already on the premises, any pet introduced will potentially create problems for the daily workings of the farm. Registered guide dogs are allowed in all properties but you should inform us at the time of booking if you wish a guide dog to accompany you.

Access and Parking

Access to the property is down a long drive, suitable for all types of vehicles (apart from artic lorries). Beware during icy conditions. There is parking for at least 6 cars in the dedicated parking area for the Oast. If you need any further parking, please notify HFH in advance of arrival. 

Cots and High Chairs

We can provide a travel cot and high chair if notified in advance. The cot is suitable for infants (under 2s)  N.B. please take your own cot linen as this is not provided.

Heating

A basket of logs is provided for the woodburner. Any further basketloads may be supplied at a small charge. Other heating is included in the rental cost.

Key Arrangements

You will be provided with key details when the final payment for your holiday is received. 

Questionnaires

We would be grateful if you complete a questionnaire left in the property before you depart home. This feedback is invaluable to us in ensuring we meet and exceed our clients’ expectations
